Images come from the actual spreadsheet, filled with made-up sample data and recalculated in LibreOffice Calc. The labels on the images are ours.
Renewal dates that roll forward by themselves, cancel-by deadlines from your notice period, and the months your big renewals land. Free to download.
Every recurring bill your business pays, in one place: when it renews next, the last day you can cancel, and what the next 12 months of charges look like. Enter the first bill date once, and the dates roll forward by themselves.
Who it’s for
Small business owners, freelancers and office managers who pay for software, hosting, insurance or memberships and have been caught by an auto-renewal they meant to cancel.
What it does
- Works out each subscription's next renewal from the first bill date and the billing cycle (monthly, quarterly, yearly, every two years or any number of months), including month-end dates
- Calculates the cancel-by date from the notice period, in days or in calendar months
- Flags every row Act now, Review or OK, with windows you set, plus "Notice window passed" when the next term can no longer be cancelled
- Renewals dashboard: monthly and annual run-rate, decisions due in the next 30/60/90 days with the value of those bills, and the next 15 decisions in date order
- Cash Calendar: the bills expected in each of the next 12 months, so big yearly renewals don't surprise you, with the biggest month flagged
- Expected price rises apply from the next renewal on
- Unused-seat spend: paid seats against seats in use, turned into a yearly figure, per row and per category
- Trials, "Cancelling" (notice already given) and "Cancelled" statuses handled correctly in every total
- Up to 60 subscriptions, with an editable category list
What you get
- Subscription-Renewal-Planner.xlsx: the working spreadsheet (5 tabs, with 12 fictional example rows)
- Subscription-Renewal-Planner-Guide.pdf: a 4-page guide covering every column, flag and status
Good to know
- Free instant download, no sign-up.
- The spreadsheet doesn't send reminders. Put the cancel-by dates that matter in your calendar.
- It's a planning tool, not legal or financial advice. Notice clauses vary, so check the contract.
- License: free for personal or business use; don't resell or re-host. Sharing a link to the Tidewick page is fine.
Compatibility
Tested in LibreOffice Calc (free for Windows, Mac and Linux). Every calculated cell was recalculated there and checked against an independent model across 16 test workbooks, including month-end and leap-day dates.
Other apps: not yet tested. The workbook has no macros and uses only standard functions (IF, AND, OR, N, EDATE, DATEDIF, DATE, YEAR, MONTH, MOD, INT, SUM, SUMIFS, COUNTIF, COUNTIFS, SMALL, INDEX, MATCH, MAX, IFERROR, ROW, TODAY). That's a good sign, but it isn't a test, so we don't claim it works in Excel, Google Sheets or Numbers yet.
Known limits. It doesn't send reminders. Amounts have no currency symbol, so use one currency per file. Phones and tablets haven't been tested.
How to use it
- Download the .xlsx and the PDF guide from the product page on the Tidewick site.
- Open the .xlsx in LibreOffice Calc (free), where it has been tested. Other apps haven't been tested yet.
- On Subscriptions, delete the yellow example rows.
- For each recurring bill, enter the status, bills every (months), price per bill and first bill date, then the notice, notice unit and auto-renews?.
- Optionally add seats paid and in use, and any expected price change.
- Check Renewals and the Cash Calendar each week or month, and act on anything flagged.
Questions
Do I need Excel?
No. It has been tested in LibreOffice Calc, which is free. It uses standard functions, but it hasn't been tested in Excel, Google Sheets or Numbers yet.
Do I have to update renewal dates every month?
No. Enter the first bill date once; the next renewal moves forward by itself as time passes.
My contract says "two months' notice".
Enter 2 with the unit Months. The cancel-by date uses calendar months.
What about free trials?
Set the status to Trial and enter the date it converts to paid as the first bill date.
Will it remind me?
No. A spreadsheet can't send alerts. The flags and the Renewals sheet show what's due when you open it.
Which currency?
Any. Amounts have no currency symbol, so use one currency for the whole file.
Does it cost anything?
No. It's a free download with no sign-up.
